Ace Cup is responsible for the personal information you provide when registering for tournaments. Ace Cup decides how that information is collected and used, as described in this policy. For privacy questions, use the contact details in section 13.

We collect the following personal information when you register for a tournament:

• Full name: to identify you in brackets and rankings.
• Email address: to send confirmations, match notifications, and tournament communications.
• Phone number: to send reminders and help you coordinate matches with opponents.
• NTRP skill level: to organize balanced competitive groups.
• Match results: scores and outcomes you or your opponent report, used for standings and rankings.

We do not collect or store your payment card details. Card data is handled directly by our payment provider (see section 4).

We use your data to:

• Process your registration and confirm your payment.
• Organize groups, brackets, and match scheduling.
• Share your name and contact info with your assigned opponents so you can coordinate matches (see section 6).
• Send reminders for matches approaching their deadline.
• Calculate and display public player rankings and statistics.
• Provide support and resolve disputes.

Payments are processed by our payment provider. Card details are entered directly on the provider's secure checkout page and never pass through or are stored on Ace Cup's servers. We only receive a confirmation of the transaction status and, where applicable, a transaction identifier. The payment provider is responsible for the security and handling of your card data under its own privacy and security policies.

We work with third-party services that help us operate the platform:

• Payment provider: processes entry-fee payments.
• SMS provider: sends match and reminder text messages.
• Analytics: helps us understand how the site is used so we can improve it. We do not send personal data such as your name, email, or phone number to analytics tools.

These providers access only the data necessary to perform their functions, under their own privacy policies. We do not sell or rent your personal information.

To let you schedule matches, your name, email, and phone number are shared with the players in your assigned group. Likewise, you receive your opponents' name and contact info for the same purpose. This sharing is limited to the opponents in your group and only for coordinating matches. We do not publish your email or phone number publicly.

Your name, NTRP level, match results, rankings, and playing statistics (wins, losses, win percentage) are publicly visible on the platform. We do not publish your email or phone number in public sections.

The platform uses cookies and similar technologies to keep you logged in and to improve your experience. We do not use third-party cookies for advertising purposes. You can disable cookies in your browser, though some features may not work correctly as a result.

We retain your information while you participate in active tournaments and for a reasonable period afterward to maintain ranking history and resolve disputes. Historical results of completed tournaments are retained to preserve the integrity of the rankings.

You may request deletion of your personal data by contacting us (see section 13). We will remove the personal information we hold about you, except for historical match results and rankings that are retained to keep the integrity of completed tournaments. If you have an active registration, deletion does not entitle you to a refund beyond what is described in our Terms & Conditions.

You have the right to:

• Access the personal information we hold about you.
• Request correction of inaccurate data.
• Request deletion of your personal data, subject to the tournament-history exceptions above.
• Withdraw your consent to receive email or SMS communications at any time.

To exercise these rights, contact us using the details in section 13.

We apply reasonable technical and organizational measures to protect your information, including encrypted connections (HTTPS) and secure database storage. However, no method of transmission over the internet is fully secure, and we cannot guarantee absolute security.

We may update this Privacy Policy periodically. We will notify you of significant changes by email or through a notice on the platform. The "Effective date" at the top reflects the current version. Continued use of the platform after a change constitutes acceptance of the updated policy.
